We’ve learned from our finance friends that on the surface, an invoice request looks simple but behind it someone has to confirm that the payment really happened, that it hasn’t already been invoiced, that the customer’s details are right and that the VAT rules allow it. Multiply that by dozens of requests, from businesses, individuals and customers abroad, each with different tax treatment and it quickly becomes a lot of cross-checking for senior accountants to do by hand.
At Capto, we built an AI agent that does it instead of that senior accountant. It takes each request from the Outlook inbox to a sent PDF invoice in Microsoft Dynamics 365, checking five systems along the way and here’s what we like most about how it works:
1. It checks before it creates, meaning that payments are verified, duplicates are caught and every invoice can be traced back to its source. âś…
2. It applies the VAT deadline to the payment date and late requests get a clear explanation in two languages instead of an invoice. ⏰
3. It handles each request one item at a time. Let’s say a request has several receipts - the ones that pass are invoiced right away and one problem doesn’t block the rest. Such a relief, we know! 🧩
4. It never guesses! Anything ambiguous goes to a person, together with the reason, so the team only spends time on real exceptions. 🙋
The result is that the full cycle from request to sent invoice runs 80% faster and senior accountants spend their time on analysis, review and advisory work instead of data entry. 🚀
And that’s how we approach every agent at Capto, folks! We build around the systems a client already uses, set the local tax rules and keep a person in the loop for what the agent can’t be sure about.
